To remind users to update their actions, the Action Update email notification can be used. This email notification type allows you to send an email to all action responsible officers and Business Unit responsible officers who have not updated their actions.
During the rollover process, action update emails will be only be generated for actions in the current period.
STEP 1: Go to Administration > Email notifications > Action Update. Administration > Planning Administration > Email Notification > Action Update.
STEP 2: Enter a frequency at which the system checks whether the progress has been updated or select 'NEVER TO' switch off this functionality.
You can also set a frequency to send follow-up reminders by selecting an option from the ‘Continue to remind every’ dropdown. The system will check if the action has been updated based on the defined frequency and generate further reminders as long as the action remains not updated.
STEP 3: Specify a email subject and the email body content.
STEP 4: Click the 'Save' icon.

Business Rule An action update email notification is not sent for inactive actions or for those with a status set to ‘COMPLETED’, ‘ONGOING’ or “DEFERRED”. Emails are sent as follows:
i.e. If Period is set to Month and the Action was last updated on 14 Oct 09 and it is now 14 Nov 09, the notification will be generated.
i.e. If Continue to Remind Every is set to Day (i.e. daily) daily reminders will be issued until the Action’s progress is updated. |
